JOB TITLE: OPERATIONS MANAGER
NOTE: THIS IS THE LEAD ADMINISTRATOR ROLE WITH THE POSSIBILITY TO GROW INTO DIRECTOR
Reports to: Board of Directors, as represented by the Chair and Member President

POSITION SUMMARY
Gamelan Sekar Jaya (GSJ) is a non-profit organization (501 (C) 3) dedicated to the study and presentation of Balinese performing arts. The primary responsibility of the Operations Manager is to lead and represent the organization by providing administrative oversight, financial management, and fund development utilizing strategic planning and organizational and communication skills to foster effective consensus-building and collaboration within the group, and presenting a positive and compelling outward face to key stakeholders (government, funders, audiences, and other community stakeholders). The Operations Manager is the lead administrator at GSJ and is highly responsible, responsive, and accountable for the organization. This position has the possibility to grow into a Director.ESSENTIAL FUNCTIONS
The following reflects the Board of Directors’ definition of essential functions for this job but does not restrict the tasks that may be required. To perform this job successfully, the Operations Manager must have a regular and reliable in-person presence at community events (planned with adequate lead time if happening outside of business hours - at least 1 month when possible). Some weekday evening and weekend availability is necessary in order to connect with GSJ’s 65 ensemble members at weekday evening rehearsals, and in order to be the lead point person at performances on evenings and weekends. A successful Operations Manager must be able to perform each essential function from the list below satisfactorily.ORGANIZATIONAL MANAGEMENT & DEVELOPMENT (25% OF ROLE)
1) Supports GSJ’s strategic visioning and program planning processes in partnership with Board and STAR (e.g. meetings, retreats) using consensus agreement building.
2) Facilitates execution of agreed-upon strategic plans, aspirations, and 2025 Strategic Plan goals.
3) Leads with humility, sensitivity, and high interpersonal intelligence to resolve complex situations and conflicts involving members, committees, staff and others.
4) Communicates frequently with the Board of Directors and leadership teams to maintain close collaboration. Escalates novel situations without relevant organizational precedent or policy to Board and/or other appropriate leadership teams for input and guidance.
5) Cultivates community-building and engagement by actively encouraging participation of appropriate GSJ staff, leadership, and members.
6) Guides and collaborates with GSJ staff, ensemble coordinators, and Artistic Team (AT) to plan artistic programs.
7) Supports preparation of each season’s General Meeting in collaboration with STAR and staff. Attends and presents at all General Meetings.
8) Serves as a spokesperson with external stakeholders as appropriate.
9) Attends all STeering and ARtistic (STAR) meetings (2nd Monday evening of every month) and Board Meetings (quarterly)BOOKKEEPING & FINANCIAL MANAGEMENT (20% OF ROLE)
1) Processes/logs bill & contractor payments, deposits, reimbursements, and donations in Quickbooks and Wells Fargo.
2) Invoice all presenters and studio renters.
3) Codes expenses in Quickbooks in collaboration with the Treasurer.
4) Generates, manages, and monitors annual operating budget in collaboration with the Board Treasurer and staff.
5) Maintains organizational data systems, including Quickbooks and Salesforce, in collaboration with staff, Board Treasurer, Finance Team and accountants.
6) Meets weekly with the Treasurer (30-60 mins)
7) Tracks Aged Receivable and Aged Payable reports on a regular basis.
8) Maintains compliance with fiscal requirements and local governments in collaboration with the Board Treasurer.
9) Gives quarterly financial updates to the Board in collaboration with the Treasurer.
10) Is authorized to approve expenditures within the annual budget, and up to $1,000.
11) In collaboration with the Board Treasurer, provides leadership and coordination for the implementation of capital improvement projects funded by any campaign.
STAFF & ON-SITE STUDENT LIAISON SUPERVISION (15% OF ROLE)
1) Coordinates with all paid staff, On-Site Student Liaison (OSSL), and contractors to ensure that projects and programs are carried out and executed in impactful and value-aligned ways.
2) Ensures effective processes for collaborative staff and volunteer work flow.
3) Delegates tasks as appropriate, oversees implementation, and provides feedback.
4) Works as needed with Board & HR consultants to ensure legal/compliance.
5) Facilitates the selection of, and provides support and feedback for the OSSL.
6) Participates in hiring processes with the Staffing Committee of the Board.
7) Facilitates 3-month and annual reviews with the Board.
8) Facilitates “exit interviews” (ranging from informal to formal as is appropriate) with the Board.
MARKETING/EXTERNAL COMMUNICATIONS (5% OF ROLE)
1) Works with the Marketing and Communications Manager (MCM) to support the development of publicity and marketing strategies; manages the public representation of GSJ in all written and visual materials.
2) Supports the MCM as needed to create and maintain all electronic and print marketing & outreach efforts.
3) Collaborates with MCM to generate seasonal social media marketing strategy, marketing calendar timelines (spreadsheet with actionable tasks and deadlines), and reflection on past strategy efficacy.
4) Gives feedback on / is “a second set of eyes” on outward-facing Mailchimp newsletters.
5) Responsible for seeing that high quality audio and video is obtained from each performance and event, and photography as appropriate.
6) Serves as a point of contact for studio renters.
INTERNAL COMMUNICATIONS (5% OF ROLE)
1) Is Administrator for GSJ’s Google groups including: creating @gsj.org accounts, setting and changing permissions for materials in Google Drive, password resets, etc. (in collaboration with Archivist).
2) Maintains comprehensive list of online account passwords in LastPass (in tandem with relevant Board member).
3) Maintains email lists in Google Administration.
4) Gives feedback on / is “a second set of eyes”for inward-facing newsletters (ie: Kabar from the Banjar, internal membership announcements).
PERFORMANCE AND GUESTS ARTIST-IN-RESIDENCE MANAGEMENT (20% OF ROLE)
1) Supports the Artistic Program Manager in planning performances, projects, tours, and artist residencies -
A. Including planning, generation of timelines, logistics, negotiating contracts and fees in connection with these activities.
B. Includes ensuring timely completion of visa applications, travel arrangements, and invitations to Guest Artists (in collaboration with AT, Board, and Staff)
2) Provides support for managing Guest Artists including: Arranging housing, ticketing, phone, reimbursements, and monthly payments; Ensures there is proper hospitality arranged for Guest Artists as necessary.
3) Onboards Guest Artistic Directors as employees with Board Chair and Artistic Program Manager.
4) Production managing for performances and festivals; coordinates with other production staff, volunteers, artistic leaders, and performers -
A. Includes pre-production planning, event budgeting, communications with GSJ and event presenters
B. Runs day of logistics and show flow (stage management, volunteer management, presenter collaboration)
C. Facilitates post-production debriefs, reconciles budget, makes recommendations for future
DEVELOPMENT: GRANTS & FUNDRAISING SUPPORT (10% OF ROLE)
1) Collaborates with the Development Manager and Treasurer to track donations and ensures appropriate follow-through (e.g. required reports, thank you notes) with grantors/donors to maintain relationships.
2) Collaborates with the Development Manager on grant applications as needed.
3) Supports the Development Manager in designing the annual End-of-Year Fundraising campaign. Works with other staff and volunteers to ensure successful execution of fundraising events (e.g. Holiday Fair, Room Naming Event, Sarah Willner Education Fund).
4) Ensures that granters are publicly acknowledged on our online and print materials.
5) Builds and fosters relationships with potential new funders, corporate sponsors, etc.
6) With the Development Manger, tracks GSJ’s grant-funded programs to ensure they are on track with the proposed timeline, and communicates with the Development Manager to notify grantors if programs change from original.

Minimum Qualifications
● Previous experience in a manager-level role at a non-profit organization with responsibilities including both leadership and financial management
● BA degree or higher

Essential Physical Requirements

This position commonly calls for the incumbent to stand, walk, climb stairs, bend, lift, twist, push, pull, carry, grasp, reach and stoop as needed, and to occasionally lift and carry items of up to 25 pounds. Specific vision abilities commonly used on the job include close vision, distance vision, color vision, peripheral vision, depth perceptions, and the ability to adjust focus.
WORK ENVIRONMENT
The Operations Manager works in an office shared with other staff. This office is in a partitioned and secured room on the second floor of Sekar Jaya’s banjar community center. The office is accessible via two flights of stairs. Access to the office room is via a shared kitchen and lounge area of a 3-bedroom apartment used as the living quarters of Sekar Jaya’s artists-in-residence and Onsite Student Liaison (OSSL).
PERFORMANCE REVIEW
Performance review will be conducted after the first 3 months and then annually in July. Performance reviews are an opportunity for two-way feedback to maintain alignment on task expectations, performance, and support needed for success.Important Dates to be Available:

Part-time, W2 employee status. 5-10 hours/week with more hours during the school year and less during the summer, with the potential to increase hours as education program grows.

POSITION SUMMARY
The Education Manager position is a part-time administrative and teaching position under the supervision of the Operations Manager (OM)* and in collaboration with the Artistic Team (AT) and Guest Artists (GAs). This position manages GSJ’s education programs both onsite at the banjar and offsite in schools, community centers, libraries, etc. This position is best suited for someone who is local to the Bay Area, has 2+ years of nonprofit administration experience, and has 3+ years of experience teaching in public schools. This person has excellent verbal and written communication skills, is experienced working in and teaching Balinese arts, is comfortable working cross-culturally, and enjoys working with youth. The responsibilities of this position are detail-oriented, highly collaborative, and manager-level. GSJ is seeking someone who is organized and self-motivated to support the flourishing success of GSJ.*Staffing Subcommittee of GSJ Board will conduct 3-month review due to OM being a new hire on September 1
Responsibilities: Oversees the development and implementation of educational program offerings in schools, libraries, and at the GSJ banjar (community center).
Manages Off Site Education Programs including: K-12 & university offsite workshops, assemblies and residencies; onsite public classes; and private workshops/skill shares. (currently 3 residencies per semester, 3-5 workshops/lecture-demonstrationss per semester)
This includes:
○ Scheduling programs with schools and GSJ teachers;
○ Scheduling rehearsals, prep meetings, and debriefs;
○ Creating contract agreements to ensure that teachers and students clearly understand schedule/payment/scope of work/etc.;
○ Facilitating feedback from students and teachers at the end of each program;
○ Sharing feedback with relevant parties and making suggestions based on feedback.
○ Attends all off-site programs as a GSJ teaching artist, serves as point of contact for each program, and handles last minute changes and decisions onsite as needed. If unavailable, delegates to another GSJ teacher.Oversees Onsite Public Classes including Beginner Gong Kebyar, Intermediate Gong Kebyar, and Dance (currently 4 classes per week, on Sundays)
This includes:
○ Schedules music and dance public class series each season
○ Schedules music and dance public class series each season
○ Schedules music and dance public class series each season Manager weekly to keep mailing lists up-to-date
○ Captures photos and videos and uploads them to Google Drive for Marketing
○ Schedules end–of-series showcase for public class attendees to invite friends and family to see what they have been learning
○ Adds classes to the public class series as is relevant (ie: youth classes)Communication
○ Updates education events/programs in the GSJ member calendar - adds info sheets, day outlines, point of contact, etc.
○ Frequently checks emails and voicemails for edu-related communications
○ Manages and schedules local GSJ teachers for education programs
○ Shares all relevant info with Communications Manager for website, newsletter, and all marketing updates pertaining to education
○ Provides quarterly Edu Program reports for Board meetingsProgram Development
○ Helps develop program concepts, curriculums with educational partners and Guest Artists
○ Organizes and supports GSJ teachers and Guest Artists to be prepared for school residencies, assemblies and public classes, by:
- Creating and sharing an info sheet for each program with reverent info (dates, times, number of students, location, staffing, teacher payment details, etc)
- Sharing info, tools, skills for classroom management strategies, learning styles, etc.
- Guiding conversations and sharing best practices for intercultural learning skillsContracts and Finances
○ Creates and maintains annual and program education budgets with support from Operations Manager as needed
○ Updates Quickbooks with Edu program income and expenses (for public classes and off site programs)
○ Works with Operations Manager to ensure GSJ teachers invoice and receive payment as agreed upon
○ When applicable, receives payment from Edu partner and puts on desk of Operations Manager
